Position: Secretary I

SUMMARY
Serves as the Secretary to school administrators or departments. Responsible for coordinating school/department services; providing comprehensive administrative and business support in a detail-oriented and problem-solving manner; and communicating pertinent information.
ESSENTIAL DUTIES AND RESPONSIBILITIES
- Maintain the highest level of confidentiality of district and student information.
- Understand the areas of responsibilities and appropriately execute in the areas as assigned.
- Identify and/or develop process improvements to create efficiency, with a focus on implementing technology solutions.
- Be well-versed with the District/School calendar and proactively coordinate activity levels for the administrator to ensure smooth implementation.
- Responsible for receiving and appropriately routing visitors and communications on behalf of the administration, including face to face meetings, telephone, mail and electronic communications.
- At the school building level, responsible for implementing the entire student attendance process, which includes accurate record keeping, tracking attendance/early dismissal/tardiness; drafting letters, etc.
- Work collaboratively with the school administration and staff for various projects, programs and activities, including the building master schedule, special schedules, standardized assessment testing, etc.
- Management and maintenance of student records and school files.
- Schedule meetings, appointments and parent/teacher conferences.
- Material acquisition, including ordering, processing, and maintaining inventory of office materials and/or equipment.
- Ensure all school building/facility safety protocols are properly administered and properly followed, if applicable.
- Coordinate projects and initiatives, as assigned.
- Interact with varying levels of staff/administrators, parents and external representatives.
- May serve as a backup for the Head Secretary.
- All other duties as assigned.
EDUCATION AND EXPERIENCE
- Bachelor’s degree, preferred. Associate degree, required.
- One to two years of proven executive assistant (or commensurate) experience at an administration level.
- In-depth understanding and proficiency of the entire Google suite (Docs, Sheets, Slides and Forms), QuickBooks, Apple and/or Google programs (Gmail and calendar).
- Experience in an educational environment, preferred.

- Strong interpersonal relationship skills with administrators, staff, students/families and the community.
Note: Final candidates will be required to perform a written simulation and take a technical assessment to evaluate proficiency in computer literacy and applications/systems.
